Responsibilities: Supports the Digital Media department in both department administrative matters and content administration for the digital products. Monitors departmental funds and maintains associated financial records. Provides key budgetary administrative support. Oversees day-to-day financial and operational matters, closely monitoring accounts payable and receivables and processing and/or approving vouchers for the budget and separate project budgets. Coordinates information and reporting, regularly meeting with director and assistant director. Oversees relationships with vendors; develops contracts, monitors expenditures and prepares revenue documentation. Works with departments and staff across the Museum to perform daily content updates for moma.org, the MoMA apps, and the lobby information screens using the Museum’s custom CMS. Schedules various cross-departmental groups for digital. Manages all meeting logistics and timely preparation and dissemination of related documents. Oversees all administrative functions of the department including protocol, procedures, and records management. Collaborates to develop annual departmental budget. Oversees maintenance of department’s spaces, including conference room, office spaces, storage, and equipment. Maintains equipment inventory for office and programmatic use. Ensures timely supply of day-to-day office supplies for the department and effective storage of supplies. Maintains departmental personnel records and is responsible for new employee set up and maintenance of job descriptions. Assists with hiring support staff when appropriate. Assists in training and orientation of new staff, including interns, in regard to Museum and departmental policy and procedures. Disseminates information regarding new policies and procedures to departmental staff. Reports to Director, Digital Media.

Requirements: Bachelor’s degree, preferably in business or arts administration, and three or more years relevant experience in museum or gallery administration or equivalent. Strong written and interpersonal skills. Experience using CMSs for publishing digital content. Basic understanding of HTML and markdown. Excellent organizational and job management skills. Ability to manage multiple tasks. Proactive troubleshooting and follow-through skills. High level of diplomacy, accountability, judgment, and confidentiality. Strong attention to detail. Background and/or interest in modern and contemporary art desirable. Management and accounting skills and supervisory experience. Demonstrated project management and problem-solving skills. Strong understanding of both macro and micro views of budget management. Strong Excel and Google Apps skills. Experience with PeopleSoft or similar systems desirable. Skilled at process development and analysis of systems.
